ITRACO was established in Germany in 1989. Presently it specializes in supplying into Russia, CIS and Baltic countries printing equipment and consumables. Currently ITRACO has 31 offices in Russia, CIS and Baltic countries.
The need to put all remote offices into a common information space induced the authorities of ITRACO GmbH headquarters develop a Deployment Information System (DIS) ITRACO intended for the automation of management accounting and bookkeeping with its further deployment to all company offices. In fact, the solution had to take into consideration differences in accounting principles in the countries where ITRACO was currently running its business activities but it also had to be easily configured in accordance with the peculiarities of CIS and Baltic countries where the system was going to be deployed. Creation of DIS was supposed to serve as an update to ITRACO`s current Automated Information System (AIS) based on 1C:Trade Management. The company expected to perform the project was required to have significant long-term experience dealing with 1C:Enterprise-based software. Upon making a thorough review of 1C partners as well as studying their cooperation with large international enterprises and their expertise in various areas, the project was entrusted to AXELOT.
The project was started in December, 2007. Customer`s team was represented by 7 employees: financial director, IT director, financial manager, financial analyst, programmer and a system administrator. The project curator assigned by Customer was the Chief Information Officer. AXELOT team included a project manager, an automation consultant and a system architect. Within the project scope it was decided to update and transform AIS ITRACO into DIS ITRACO and to make a trial system start-up at Customer`s office in Ukraine. Project works were divided into 3 stages: development of “Technical Task” document, development of DIS ITRACO based on “Technical Task” requirements, implementation of DIS ITRACO at Customer`s warehouse.
Like many other projects, DIS development and implementation were subject to certain risks. AXELOT specialists foresaw most probable risks and worked out special Risk Minimization Action Plans. For example, in order to avoid negative consequences resulting from the project team reassignment staff responsibility areas were duplicated in accordance with the project management plan. Control over the integrity and sufficiency of project documentation was properly arranged.
During the project period that took 8 months all needed updates to AIS were made: universal exchange rate calculation and template creation tools implemented, as well as tax calculation and data migration; tax accounting regulation builders updated in accordance with the region where DIS is used; integration with 1C:Accounting 8 and 1C:Accounting for Ukraine 8 performed.
Accounting module of the key (trade) activities run by AIS head office was transformed into a single accounting module of the key (trade) activities run by the company offices. In order to make it possible for the offices to run their activities in Russia and Ukraine, “Exchange” module that had been previously developed using “WEB-extension for 1C:Enterprise 8” software product was integrated into DIS.
Within 10 days 26 people employed by Ukrainian offices were properly trained followed by the system deployment and start-up.
Project result is a common information space that enables operation of around 30 ITRACO offices in Russia and Ukraine. Besides, the following issues were settled: data and reporting relevance achieved, prompt management decision making process established and hours spent on reporting decreased.
Nikolay Isaak, ITRACO`s Chief Information Officer, says: “System development and trial implementation have been successful. In the nearest future ITRACO is going to deploy the system developed by AXELOT to our offices in Kazakhstan and Belarus”.
